Tasks and Assignment allows you to assign draft inspections and other tasks to your users in Record360. Assign and track work that needs to get done, and stay in the loop when tasks are assigned and completed. Use the flexible Job Board to view all the tasks in the current week. Tasks is available on Standard and Professional plans, and Job Board is available on Professional plans. Customers on these plans will see a new Tasks icon on the left hand navigation on the dashboard. Access tasks from here.
Assign a draft inspection
Our drafts feature allows you to start and pre-fill fields for an inspection on a desktop computer so that your team saves time in the field when completing the inspection on a mobile device. Tasks takes this one step further, by allowing you to assign a draft inspection to users in Record360. Choose where to assign the task from the final screen on the draft create page, or leave it unassigned.
To start, click on New Task and choose Inspection
On the final screen of the draft, choose a task name, assignee, due date, priority level, and add a description. Once you click "create inspection task", the draft and associated task will be created, and the assignee will be emailed a link to the task.
Create and assign other tasks
In addition to inspection tasks, you can also create and assign other tasks from the dashboard. These can be anything you like, from preparing units for rent, creating work orders, or scheduling upcoming preventative maintenance - anything that your team is doing that needs better tracking and accountability. You can assign a unit to these tasks if you'd like, label them as high priority, and assign to individual users or leave unassigned.
To start, click on New Task and choose Task.
From here, add a task name, assignee, due date, priority level, and a description. Once you click "create task", the task will be added, and the assignee will be emailed a link to the task.
View and edit your tasks
Users on our Standard plan will have access to a task list view, where you can see all tasks that have been created. From here, you can filter by incomplete, completed or all tasks, search, filter, and re-arrange columns as with other parts of the dashboard.
On our Professional plan, you will have access to the flexible Job Board, which shows you all tasks that are coming up due in the current week. From here, you can view individual tasks, re-arrange them in the column based on priority, or move cards across the days of the week to change the due date. Professional customers can also switch between the Job Board and list view at any time.
To view, simply click into any task from the list view or job board. From here, you can view task details, mark regular tasks complete, add comments or attachments, or edit the task details.
When clicking edit, you will be able to edit task details, including name, unit ID, due date, priority, etc. Once you are done editing the task, simply click done. All edits are tracked in the task activity log, which you can view from the task details page above.
When tasks are completed, the person who created the task will receive an email letting them know that the task was completed, and by who.
